EHR implementation timeline for small practices

Small healthcare providers likely won’t have as much data to worry about as big hospitals, but the implementation process is still a rigorous one. Browse through this potential timeline to see what providers need to think about from beginning to end of the EHR implementation process:

Nine to 12 months before go-live

A. Your staff is on-board with EHR implementation

B. Assess what you already have on-site vs. what you need (i.e. improve database ec…)

C. Create a go-live schedule

D. Schedule vendors, trainers, implementation consultant

Six to nine months before go-live

A. Develop you EHR leadership team and define roles

B. Map workflow for automated processes, such as encounter documentation or lab results

C. Collaborate with staff on how to maximize ROI

D. Select the vendor — place deposit and mail forms into vendor

E. Identify top 10-20 chief complaints and most frequently used assessment/plans from billing (encounter) form

F. Identify hardware needs and vendor system requirements

Three to six months before go-live

A. Install hardware

B. Create referral communities

C. Customize your own templates

D. Evaluate readiness of physicians

E. Schedule staff training

F. Ensure your installation timeline is the same as vendor’s

G. Inform patients about the new system and explain the benefits of moving to an EHR. This is also a good opportunity to hear out any patient thoughts or concerns.

One to three months before go-live

A. Build interfaces, such as lab, e-Prescribe, imaging, radiation

B. Test go-live

C. Begin building patient records

D. Adjust patient schedules

E. Adjust office manager schedule

F. Communicate schedule to staff

About 30 days until go-live

A. Reduce patient load

B. Assess, recheck

C. Relax!

From 30-120 days after go-live

A. Make sure everyone is set with training

B. Build a common internal dictionary of your own terms

C. Share protocols among clinicians
